Document management

Business document management: from filed-away files to actionable documents

Document management in a company is about more than “having a Drive”. It means knowing what a document is, who needs to act on it, and how to find it later. DocPilot is for organisations that want to centralise documents and contracts with a layer of intelligence and approval — without deploying a legacy DMS.

Storage ≠ management

Shared folders pile up copies. File names drift apart. Nobody knows whether “final_v3” is the signed version, or who approved it.

  • Critical documents mixed in with drafts
  • Search limited to the file name
  • No link between a document and the business decision
  • Hard onboarding for new hires (“where do I look?”)

A living repository, not a warehouse

DocPilot receives documents, suggests a record (type, parties, dates, amounts), routes it to a workflow if needed, then archives it in a filterable workspace. Document management becomes a business process, not a folder tree to maintain.

The pillars of useful document management

Multi-source centralisation

E-mail, web upload, photo: a single multi-user workspace per organisation.

Assisted metadata

The AI suggests the fields; a person confirms. Less manual filing, more reliable data.

Business search

Filter by type, supplier, amount or approval status — beyond basic full-text search.

Permissions and scopes

Each user sees what concerns their role, without exposing the entire document base.

Common situations

Management that wants to “see what matters”

Statuses and priority documents without opening every attachment.

Finance and contract-related invoices

Match invoices, purchase orders and contracts in the same repository.

Gradually replacing shared folders

Start with critical flows (contracts, approvals), then expand.

Benefits

  • One source of truth per organisation
  • Documents tied to a status and to owners
  • Less time wasted looking for the right version
  • A solid foundation for audits and operational compliance

FAQ

Frequently asked questions

What is the difference between document management and a DMS?

In France, “GED” (gestion électronique des documents — a DMS) is the name usually given to document management software. In practice, “document management” describes the business need; “DMS” describes the type of solution. DocPilot covers both angles with a lighter approach than legacy DMS products.

Can it hold more than contracts?

Yes: quotes, invoices, amendments, scanned documents, attachments received by e-mail — whenever you need a record, search or approval.

Do you have to migrate your whole history at once?

No. Many teams start with new incoming flows, then import critical historical documents as they go.

Is DocPilot multi-tenant?

Yes: each organisation has its own isolated workspace, with its own users, workflows and documents.
