Workflow

A formalised sequence of steps, roles and rules that moves a document from receipt to approval or archiving.

What is a document workflow?

A workflow (or approval flow) describes who must act, in what order and under what conditions. Example: Purchasing → Legal → Management depending on the amount. Unlike an e-mail chain, a workflow carries a visible status, due dates and a record of every decision.

Why formalise workflows

Without a workflow, approval depends on personal reminders. Files stall, exceptions multiply, and nobody knows who is “holding” the file.

Controlled turnaround times

Each step has an identifiable owner; bottlenecks become visible.

Business rules

Amount, document type, site: the flow adapts without improvisation.

Proof of process

In an audit, you show the path that was followed, not a mailbox pieced together by hand.

Common pitfalls

  • Too many steps from the outset

    A flow with ten approvers is never followed. Start simple and add cases later.

  • Workflow without notifications

    If the person concerned isn’t alerted, the “under review” status is purely theoretical.
