DocPilot vs DocuWare: which document management system to choose, and when to consider an alternative

DocuWare is a proven document management system (DMS), published since 1988 in Germany and a subsidiary of Ricoh. DocPilot is a more recent AI-powered document management system, focused on receiving, extracting, approving and tracking contracts and binding documents. This comparison draws on DocuWare’s public pages, cited at the end of the page, and on the features actually available in DocPilot.

Quick summary

  • DocuWare: a complete, configurable document management platform (file cabinets, indexes, graphical workflows, forms), in the cloud or on-premises, with a broad catalogue of ERP connectors and published certifications (ISO 27001, SOC 2).
  • DocPilot: a self-service SaaS document management system, ready to use for contracts and documents to approve — reception by e-mail, upload or photo, AI extraction confirmed by a human, approval workflows and deadline alerts.
  • DocuWare is most often set up with an integration partner and priced by quote; DocPilot publishes its prices (from €49 excl. VAT per month for 10 users) and can be started on your own, with a 14-day trial.
  • If you need ERP connectors (SAP, Dynamics…), on-premises deployment or formal certifications, DocuWare is better equipped. If your priority is to get contracts approved and tracked quickly, without an integration project, DocPilot is an alternative worth considering.

Information about DocuWare comes from its public pages and the trade press, as of the date shown; the offering is evolving (new platform announced in October 2026). DocPilot is our product. This comparison is not a performance benchmark: check with each vendor before deciding.

Who each solution is for

DocuWare

DocuWare claims more than 15,000 customers in more than 100 countries, from SMBs (starting at around a dozen employees, according to its pricing FAQ) to large organizations. Its solution pages notably target finance (supplier invoices), HR, manufacturing, healthcare, logistics, construction and the public sector. Sales and deployment largely go through a partner network.

DocPilot

DocPilot targets SMBs and mid-sized companies, particularly French-speaking ones, and the legal, procurement, finance, HR and administration teams that receive contracts and documents to approve. The tool is designed to be started in self-service, without an integrator, with an interface available in 8 languages including French.

Detailed comparison, criterion by criterion

Features

DocuWare

Capture (scanners, e-mail, business applications), indexing, filing cabinets, search, Workflow Manager, forms, e-signature through a dedicated service, desktop and mobile applications, ERP connectors. Core features are included in every cloud plan; some modules (IDP, SAP connector, signatures) are paid options.

DocPilot

Multi-channel reception (e-mail, web upload, mobile photo), type recognition among 24 templates, AI extraction with a confidence score, approval workflows, deadline alerts, full-text search, cited question-and-answer on documents, notifications and audit log.

Document management

DocuWare

Documents stored in file cabinets with index fields, version management (check-in / check-out) that can be enabled per cabinet, configurable retention periods, a 30-day recycle bin and archiving claimed to comply with standards such as GoBD.

DocPilot

Immutable original (SHA-256 fingerprint), a structured record per document, organization by departments and domains, five roles and visibility scopes. A correction creates a new dated result: nothing is overwritten, and the record locks as soon as it is confirmed or a workflow starts.

Contract management

DocuWare

DocuWare offers contract management as a configurable use case (dedicated demo) rather than a CLM module: lists of contracts nearing expiry, deadline and status fields, e-mail reminders through automatic indexing tasks, and approval workflows built in Workflow Manager.

DocPilot

The contract is the central use case: extraction of parties, dates and notice periods, calculation of the deadline to give notice (notice period read in French or English), alerts at D-90, D-30, D-7 and on the day itself, which stop as soon as a decision (renew, renegotiate, terminate) is recorded.

OCR and extraction

DocuWare

Intelligent Indexing suggests index values with a color-coded reliability level and learns from users’ corrections. The optional DocuWare IDP module adds, since October 2026, “Zero Shot” extraction using generative AI for documents never seen before, OCR in 20 languages and matching against an ERP’s reference data.

DocPilot

The native text of PDFs is used directly when it is enough; otherwise the file (scan, photo, Office) is read by an OCR / AI engine (Mistral OCR, an OpenAI-compatible model or Tesseract, configurable per organization). Each field keeps its source (page, excerpt) and goes to human review below a confidence threshold.

Artificial intelligence

DocuWare

In October 2026, DocuWare announced Aura, a conversational assistant included for DocuWare Cloud customers: natural-language questions, search, summarizing and comparing documents, respecting existing permissions and with links back to sources. The on-premises version is announced for later.

DocPilot

The AI classifies the document, pre-fills the record and answers questions about a document and its linked documents, with citations checked against the source text (page, article). Without evidence in the document, the assistant says it did not find the information rather than making it up. A human always confirms the extraction.

Search

DocuWare

Full-text and index-field search in one or more cabinets, according to the user’s permissions; Aura adds natural-language search on DocuWare Cloud.

DocPilot

Full-text search on the title, content, contract number, supplier, customer and tags, with filters by type, department, domain and status. Results are filtered by scope before being computed.

Automation and workflows

DocuWare

Workflow Manager: a graphical drag-and-drop designer, triggered by a web form or by filing a document, task lists. Automatic e-mail import from a monitored mailbox. Very flexible, to be configured around your processes.

DocPilot

Integrated chain: reception → reading → record → approval workflow. Approval, review, information, signature or archiving steps; “all”, “any one” or quorum modes; automatic deadlines and reminders; three decisions (approve, request changes, reject with a reason). Less modeling freedom than a graphical designer, but nothing to build to get started.

Security and compliance

DocuWare

DocuWare Cloud is hosted on Microsoft Azure, with data centers in the EU, the United States, Japan and Australia. AES-256 encryption at rest (one key per document) and TLS in transit. The vendor states it holds recertified ISO 27001:2022 and SOC 2 certifications, as well as GoBD compliance.

DocPilot

Data hosted in the European Union, AES-256 encrypted storage, antivirus on import, strict isolation between organizations (including PostgreSQL row-level security), a tamper-proof audit log, Argon2id passwords. DocPilot does not currently claim any certification (ISO 27001, SOC 2…).

Integrations

DocuWare

Extensive official catalogue: SAP (ArchiveLink, S/4HANA), Microsoft Dynamics, Sage, Oracle, Infor, Outlook, Teams, SharePoint, REST API, webhooks and iPaaS connectors. E-signature with Validated ID and DocuSign.

DocPilot

Deliberately limited integrations: an upload e-mail address, the web application, iOS and Android mobile apps. No native ERP / CRM connectors or documented public API at this time, and no built-in e-signature: signing stays in your own tool, and the signed version comes back into DocPilot.

Ease of use and setup

DocuWare

A rich platform, most often configured with a DocuWare partner (cabinet, index and workflow configuration). The DocuWare Academy offers e-learning and certifications, mainly intended for partners. A new interface was announced in October 2026.

DocPilot

Self-service workspace creation, ready-to-use document templates and workflows, three entry points with no installation. The flip side: fewer deep customization options than a configurable document management platform.

Pricing

DocuWare

No complete public price list: pricing is by quote, built with a sales rep or a partner. According to the official FAQ, a DocuWare Cloud subscription generally costs between $30 and $125+ per user per month. On-premises: perpetual licenses, first year of support included, then about 20% of the license price per year. IDP, the SAP connector and signatures are options.

DocPilot

Public prices excl. VAT, per organization: Starter €49 / month (10 users, 25 GiB), Business €149 / month (50 users, 100 GiB), Enterprise by quote. Annual billing available (€490 and €1,490 per year). 14-day trial on the first subscription.

DocPilot

Strengths

  • Self-service start, public prices in euros
  • Complete contract journey with no configuration: extraction, approval, deadlines
  • AI that cites its sources and extraction always confirmed by a human
  • Interface in 8 languages, EU hosting

Limits

  • Young vendor, no certification claimed at this time

Use cases

Supplier invoices matched against the ERP

A large volume of invoices to match against SAP or Dynamics is a better fit for DocuWare, with its ERP connectors and its IDP module.

Supplier contract received by e-mail to be approved

DocPilot receives the PDF, extracts parties, amounts and notice period, launches the legal then procurement workflow and keeps the history of decisions — with no prior configuration.

Termination notice deadline not to be missed

Both tools can alert you before a deadline. DocPilot calculates the deadline from the notice period read in the contract; DocuWare relies on deadline fields and lists or tasks that you configure.

Regulated archiving and on-premises deployment

An organization that must keep its data on its own servers or requires formal certifications will turn to DocuWare.

Verdict by profile

There is no “best” tool in absolute terms: the right choice depends on your volume, your information system and your constraints.

SMB without an IT team
DocPilot will be simpler to start and to budget for if your main need is contracts and documents to approve. DocuWare remains relevant with a local partner for a broader scope.
Mid-sized company with an ERP and high invoice volumes
DocuWare, for its ERP connectors, its IDP module and its configurable workflows.
Legal or procurement department
DocPilot, for notice period tracking, approval workflows and cited answers on contracts.
Regulated sector, on-premises or certification requirement
DocuWare, which offers on-premises deployment and publishes certifications; DocPilot does not claim any at this time.
Already a DocuWare customer
No reason to switch if the tool covers your needs. DocPilot can complement a specific use (approving incoming contracts); assess the cost of double data entry before running both.

FAQ

Frequently asked questions

What is the difference between DocPilot and DocuWare?

DocuWare is a general-purpose, configurable document management platform, in the cloud or on-premises, with many ERP connectors. DocPilot is a ready-to-use AI-powered SaaS document management system, focused on receiving, extracting, approving and tracking deadlines for contracts and binding documents.

Is DocPilot an alternative to DocuWare?

Yes for organizations whose main need is to centralize, approve and track contracts and documents, without an integration project. No if you need on-premises deployment, native ERP connectors or formal certifications: DocuWare meets those better.

How much does DocuWare cost?

DocuWare does not publish a complete price list: pricing is built by quote. Its FAQ states that a cloud subscription generally costs between $30 and $125+ per user per month, excluding optional modules such as IDP, the SAP connector or signatures (information retrieved on October 19, 2026).

How much does DocPilot cost?

Starter at €49 excl. VAT per month (10 users, 25 GiB), Business at €149 excl. VAT per month (50 users, 100 GiB), Enterprise by quote. 14-day trial on the first subscription.

Does DocuWare offer AI?

Yes. Intelligent Indexing suggests index values and learns from corrections; the IDP module has offered generative AI extraction since October 2026; the Aura assistant, announced in October 2026, is included for DocuWare Cloud customers.

Can DocPilot be installed on our servers?

No. DocPilot is offered only as SaaS, with data hosted in the European Union. If on-premises hosting is a requirement, DocuWare offers that option.

Can we migrate from DocuWare to DocPilot?

You can upload your existing documents to DocPilot (web upload or e-mail); extraction rebuilds the records. DocPilot does not offer an automatic migration tool from DocuWare: for a large volume, run a test on a representative batch first.

Which one is easier to set up?

DocPilot can be started on your own: workspace creation, upload e-mail address, first workflow. DocuWare offers more configuration possibilities and is most often deployed with an integration partner.
