Metadata

Structured information attached to a document (type, parties, dates, amount, status) that lets you classify it, filter it and manage it.

What is document metadata?

Metadata describes a document without necessarily being its content: type (contract, quote…), parties, end date, notice period, owner, status. It turns a file into a business object. Without metadata, a document management system is reduced to a folder tree — fragile as soon as volumes grow.

Why companies need it

Filtering “all supplier contracts expiring within 90 days” is impossible with file names alone.

Search and reporting

Filters, dashboards and alerts rely on structured fields.

Interoperability

Metadata lets you feed finance, legal or purchasing without re-keying.

Governance

Access rights and retention are easier to manage by type and sensitivity than by folder tree.

Common pitfalls

  • The encyclopaedic form

    Too many mandatory fields = incomplete files. Set a useful minimum core.

  • Metadata that is never updated

    A status stuck on “in progress” for two years destroys trust in the repository.
