Document metadata: the useful minimum

A few well-chosen fields are worth more than a perfect folder tree that nobody follows.

Metadata is not an archivist’s luxury. It is the set of handles that lets you find a document without knowing its file name. This satellite of the document management guide focuses on the useful minimum — not on the overall organisation of a document base (covered elsewhere).

The too-many-fields trap

A twenty-field form ends up empty within the first month. Teams work around it, the data stays thin and search fails. Five filled-in fields are better than fifteen ignored ones.

  • Type (contract, invoice, procedure, other)
  • Parties or business context
  • Document date
  • Status (draft, current, archived)
  • Person responsible for the file

Making data entry sustainable

  1. Limit mandatory fields to the critical scope
  2. Prefill via OCR / AI whenever possible
  3. Reject “untyped” uploads on sensitive flows
  4. Review unused fields every quarter

Which metadata fields are essential?
Document type, owner or department, document date, status (draft / current / archived), and at least one business identifier (supplier, project, customer).
Should you index everything from day one?
