Finding a company document quickly

If the answer is “ask Marie”, your document search has not been industrialised.

Illustration of an effective search in a document base

Finding a document quickly is often the first measure of successful document management. It is not an isolated “search tool” issue: it comes down to the quality of intake and metadata.

What really slows you down

  • Copies in e-mails, personal Drives and network shares
  • Cryptic or duplicated file names
  • No “current” status
  • Access rights that force people to ask for a copy

Useful business search

Filter by type, supplier, project, period and status. Full-text search helps, but it does not replace a record. Employee onboarding is a good test: a new starter should find things without relying on informal networks.

Frequently asked questions

Why does searching by file name fail?
Naming conventions diverge, versions multiply, and the business context is not in the name. Filters (type, party, date, status) are more reliable.
What should you put in place first?
A single repository + a few mandatory metadata fields on critical flows. Then enrich the search.
Does DocPilot improve search?
Yes: structured records, business filters and content made searchable through OCR — going beyond the shared folder.

Search beyond the file name

Try DocPilot: filter by type, parties or status — and find the reference version.
