Migrating from a file share to a DMS
Don’t migrate “the whole server”. Migrate the flows that commit the business, then expand.

Migrating to a DMS is not copying and pasting folders. It is changing the document journey. This migration guide complements the DMS or Google Drive comparison without repeating it.
A realistic plan
- Choose a scope (e.g. active supplier documents)
- Define minimal metadata and access rights
- Train the pilot group
- Shut down “unofficial” intake for that scope
- Measure search and adoption before expanding
Frequently asked questions
- Do you need to migrate the whole history?
- Rarely all at once. Many teams start with new flows and import the critical history afterwards.
- Drive or file server: same approach?
- Yes in substance (scope, metadata, access rights). For the tool comparison, see the article DMS or Google Drive — here we cover the migration plan.
- Is DocPilot suited to a gradual migration?
- Yes: start with one document type, run alongside the old file share, then expand.
