Selection criteria

Which contract management software for a team without a heavyweight DMS?

Searching for “contract management software” in France often leads to complex CLM suites. This page sets out the criteria that matter for SMBs and mid-sized companies. To see DocPilot in action (problems, workflow, demo), start with the main contract management landing page.

The pitfalls of choosing a tool

Software that is too broad becomes a PDF drawer. A tool that is too legal-focused ignores procurement and finance. A “temporary” spreadsheet becomes permanent.

  • Long roll-outs and heavy training
  • Unused features that hold back adoption
  • No simple intake by e-mail or mobile photo
  • Little connection between data extraction and the approval workflow

DocPilot: software built around the real journey

Rather than a catalogue of CLM modules, DocPilot covers the document’s journey: intake (e-mail, upload, photo), a record filled in by OCR and AI, human confirmation, workflow, notifications, search and an audit log. The interactive demo and the lifecycle details are on the contract management page. Starter and Business are self-service; Enterprise is quoted on request. Data hosted in the European Union.

Criteria to check in any software

Multi-channel intake

Dedicated e-mail address, upload, mobile photo: the contract must not depend on a single “perfect” action.

Assisted extraction

The tool should suggest the type, parties, amounts and dates with a confidence score — not make you re-key everything from scratch.

Configurable workflows

Thresholds, roles and steps tailored to your organisation, without custom development.

Traceability

Who viewed, approved or rejected: essential for management and internal controls.

When DocPilot is the right software

Replacing Excel + Drive

You already have contracts, but no reliable status and no workflow shared between departments.

Lean legal team

Few lawyers, lots of requests: automating the record and the reminders frees up time.

Multi-site SMBs

Branches send scans; DocPilot centralises them without imposing a heavyweight tool on site.

French SMBs and mid-sized companies

Legal, procurement and finance share the same repository, in French, with an audit log that supports inspections and day-to-day GDPR compliance.

What you gain

  • Quick start, without a massive IT project
  • Natural adoption through e-mail and mobile
  • Clear pricing (Starter / Business) in euros
  • Covers the need to “process and approve”, not just store

FAQ

Frequently asked questions

Is DocPilot a CLM (Contract Lifecycle Management) tool?

DocPilot covers part of the lifecycle (intake, key data, approval, archiving and tracking). It is not designed as an all-encompassing CLM suite with assisted clause drafting or advanced collaborative negotiation.

Do you need an integrator to get started?

Not on the Starter and Business plans: creating the workspace, sending invitations and setting up workflows are all self-service. Enterprise onboarding support is available for more structured organisations.

Does the software work on mobile?

Yes. The mobile app lets you photograph a document, view records and approve on the go.

How does DocPilot compare with a traditional DMS?

A traditional DMS focuses on filing and archiving. DocPilot adds AI extraction and approval workflows as soon as the document comes in. See also our DMS and document management pages.

Is DocPilot suited to French companies (GDPR, hosting)?

Yes. The interface and support are in French; data is hosted in the European Union. The service is designed for RGPD (GDPR) compliance (role-based access, audit log, documented sub-processors). See also the French companies page.
