Glossary · EDM

EDM

A system that centralises company documents, classifies them with metadata, manages access rights and supports their lifecycle.

Also known as: Electronic Document Management · GED (French acronym)

What is EDM?

EDM (electronic document management — “GED” in French) is the set of practices and tools used to receive, classify, search, approve and archive documents outside inboxes and chaotic shared folders. An EDM system is not just a cloud drive: it handles metadata, access rights, versions and often workflows.

What’s at stake for the company

Without EDM, every department invents its own folder structure. Versions multiply, access rights are opaque, and an audit becomes a major project.

Source of truth

A single repository for the reference version — contracts, procedures, supplier documents.

Governance

Who can view, edit, approve: EDM puts your document policy into practice.

Continuity

When an employee leaves, the archive must not leave with their personal mailbox.

Common pitfalls

  • Confusing Drive with EDM

File sharing without business metadata, statuses or approval flows is just a digital cupboard.

  • Over-modelling from day one

Too many types and fields kill adoption. Start from the useful minimum, then build on it.

DocPilot EDM

DocPilot is an EDM system focused on contracts and operational documents: receipt, OCR, structured records, approval and searchable archiving.

  • Central repository for contracts and documents
  • Business metadata and search
  • Built-in approval workflows
