Automatic renewal: plan ahead or opt out

Decide before the renewal date, not after — a method to turn automatic renewal into a conscious choice.

Automatic renewal is not a trap in itself: it is a mechanism. It becomes a risk when nobody spots it in time. This article builds on the contract management guide and complements the topic of termination notice periods.

Recognising the clause and its consequences

When the contract comes in, record explicitly: automatic renewal yes/no, renewal period, and notification deadline. Without these three pieces of information in the record, the team will have to reread the PDF under pressure — exactly what you want to avoid. A “renewal” field in the repository is worth more than a clause underlined once in an e-mail.

If the form of notification is strict (registered letter with acknowledgement of receipt, for example), document it in the file. Many failed exits are not due to a forgotten date, but to a notice that was incorrectly served or sent too late to be enforceable.

Decide before the date, not on the day

The contract’s end date is not the decision date. You need to work back from the notice period, then add internal review time. Example: end date 31 December, 3-month notice → act by the end of September at the latest, ideally with a review in August.

  2. Qualify the need: still useful? is the amount still right?
  3. Choose: exit / renegotiate / let it renew
  4. Send the notice if exiting, in the required form
  5. Update the file (status, evidence, new deadline if renewed)

Three possible decisions, one clear choice

Faced with a renewal, the team must be able to choose without ambiguity. Exit: send the notice in the required form and archive the evidence. Renegotiate: open the discussion before the deadline, with the complete file to hand. Let it renew: a deliberate decision, not an oversight — and update the new deadline in the repository.
