How to use AI to process your contracts

AI can prepare a contract record. It does not replace approval. Here is a sensible way to use it.

Using AI on contracts attracts a lot of promises. In business, the most solid use today is often modest: helping people read faster, suggesting fields (type, parties, amounts, dates) and flagging what is uncertain. The decision remains human. For the full picture (all document types), see the guide to AI for business documents.

Useful (and realistic) uses

  • Classifying a document into a likely category (contract, quote, amendment…)
  • Suggesting metadata to avoid repetitive manual data entry
  • Highlighting areas to review (dates, amounts) before approval
  • Speeding up search across a document base that is already centralised

What is best not to automate blindly

Signing, committing the company, or reaching a legal conclusion based on an automatic suggestion without review: this is generally not good process design. AI can prepare; it should not bypass controls when the stakes justify them.

Confidence + human review

A serious system distinguishes between a suggestion and a decision. When confidence is high, you speed up. When it is low — an unusual document, a poor scan, an ambiguous field — you require a review. That threshold is what makes automation adoptable, not the promise of zero errors.

Make AI serve the process, not the other way round

  1. Clarify the target journey (receipt → record → approval → archive).
  2. Choose 5 to 10 fields that are genuinely useful day to day.
  3. Measure the human correction rate (organisational learning).
  4. Train teams to check rather than to “trust the AI badge”.
  5. Document the cases where review is mandatory.

Limits worth remembering

Models can make mistakes, hallucinate a value or misinterpret a clause. Quality depends on the document, the context and the product design. No universal accuracy figure is honest outside a specific test set. Demand transparency about the human’s role in the loop.

The DocPilot approach

DocPilot uses AI to suggest a record and make routing to the right workflow easier. You confirm, correct if needed, then approve according to your rules. The aim is not to replace Legal or Procurement: it is to spare them data entry and organisational chaos.

To judge on the evidence, start with a real batch of contracts (including difficult scans) and look at the time saved on setting up files — not just a demo on a perfect PDF.

Frequently asked questions

Can AI sign or approve on your behalf?
No. It prepares the record (type, parties, dates, amount) to speed things up; approval remains a traceable human decision.
Which risks should you watch?
Incorrect extractions, overconfidence bias, and a lack of human review on critical fields (amounts, notice periods, sensitive clauses).
How do you get started without a heavy project?
On a limited real flow (one contract type, one team), with human confirmation of the extracted fields before approval.
